Printer Not Working on Windows? Fix It Step by Step

Printer problems are rarely about the document you are trying to print. They are usually about the connection, a stuck print job, or a driver. Work through these checks in order, and test with a simple page before you try your real document again.

Follow these steps

  1. Check the printer itself first. Make sure the printer is on, has paper and ink or toner, and shows no error light. A printer that is off, out of paper, or showing an error will not print no matter what Windows says, so clear the physical problem first.
  2. Confirm Windows sees the printer as online. Open Settings, then Bluetooth and devices, then Printers and scanners, and check whether your printer shows as offline. If it does, check the cable or Wi-Fi connection, restart the printer, and see if it comes back online.
  3. Clear a stuck print queue. Open the printer, then Open print queue, and cancel any stuck or failed jobs, especially the one at the top. One stuck job blocks everything behind it, so clearing the queue often fixes the whole problem at once.
  4. Run the printer troubleshooter. Open Settings, then System, then Troubleshoot, then Other troubleshooters, and run Printer. It checks the print service and common settings, and can fix problems you would otherwise hunt for manually.
  5. Restart the print service. If the queue still will not clear, restart the computer and the printer together. This restarts the print service cleanly and is safer than stopping services by hand if you are not sure what you are doing.
  6. Reinstall the printer driver. In Printers and scanners, remove the printer, then add it again and let Windows find the driver. If Windows cannot find one, download it only from the printer maker's official support site, never from a driver download portal.

What NOT to do

  • Keep sending the same document to the queue. Each copy adds another stuck job and makes the queue harder to clear.
  • Download a driver updater or printer fixer tool. These often install extra software and the wrong driver; the maker's official site is the only safe source.
  • Delete the printer and reinstall it before checking paper, power, and connection. The physical checks take a minute and solve a large share of printer problems.
  • Force paper out of a jammed printer roughly. Pulling jammed paper the wrong way can damage the printer; follow the printer's own jam-clearing path gently.

If a test page prints, your printer is working again, and the original document should follow. If it still will not print after a driver reinstall, note any error message on the printer itself, because that message points to the next step.
